Internet has been the most popular and widely used tool for fetching information on the net. However, another information system is surging in popularity, especially among business organizations and large corporations. The information system is called the Intranet. What is an Intranet? What is not an Intranet? And what is its role in the information age? These questions will be answered thoroughly and explained in order to provide a detailed coverage of the functions of Intranet. Initially, Intranet is a communication tool with functions similar to Internet. To get a better idea of what it is, imagine integrating all kinds of communications, such as corporate communications, group communications, and all individual communication, into a place that provides up-to-date, quality, instant information to anyone in the organization. Imagine a user knowing the source of information and company communicating with the producer of a product during any period of time. The Intranet provides all the functions listed in the previous statements. Also, the Intranet provides an opportunity to define an organization and display it to everyone to see. Furthermore, Intranet is not a new product that has just been recently introduced in the market. However, it just has not been widely used until the past few years. People use Intranet everyday without knowing that they are using it. Intranet, therefore, is the client/server, PC, Unix, Apple and many other applications that one has been using on his/her work. Security on the Internet is just as hazardous as the Intranet. Any leakage of information through the transmission of data is possible. Most, the Intranet and the Internet shares a common purpose, that is, to provide efficiency for the user in accessing information and all the applications. Comparing the Internet to the Intranet, Intranet lacks many characteristics. For example, in order to access information in the Internet, the user must log on to the web. However, Intranet does not require the user to log on to the net, but connection to the net is desirable. In addition, the Intranet is not just an email system. Its ability in communication is far beyond the scopes of electronic email. Hence, Internet is more of a marketing and customer support entity. The Intranet is your internal communications mechanism (Hinrichs 1997, 3). Furthermore, Intranet is very different from a groupware. Groupware is very complex to use and very expensive to maintain. For example, many applications associated with Groupware require specific operating systems, or particular network configuration. Unlike Groupware, Intranet is compatible with a variety of other applications. Thus, the cost to start an Intranet is less expensive and the initial time to activate Intranet tends to be shorter. Intranet, on the other hand, is an easy to use tool that allows user to manipulate function controls any way he/she likes. Setting up an Intranet is easy and simple. With the help of graphical interface like many operating systems such as windows95, the user will be able to load information and receive updates on news and events. Finally, Intranet can be applied to many environments. To begin, Intranet is a technology that permits your organization to define itself as a whole entity, a group, a family, where everyone knows their roles, and everyone is working on the improvement and health of the organization (Hinrichs 1997, 1). Like the use of a computer, Intranet can help a company in excelling and achieving goals in the best qualitative manner. As a communication tool, for example, Intranet can disperse messages and documents quickly and safely. Instead of worrying about whether your email will reach the other end or worry that the receiver will misunderstand your wording, Intranet can help clarify the situation and maintain lucid communication channel between individuals. Thus, allowing individuals to focus on other matters such as the development of a project. In addition, as a customer tool, Intranet can help define the needs of a customer. For example, company developer can reach sites where the customers and the developer may exchange information directly. Such quick reference and direct feedback will greatly help the process of producing a product. Thus, the use of Intranet will significantly enhance the power and the flexibility of a company. Intranet can improve a company and turn it into a more intelligent organization. With its advantages over Internet and its wide variety of functions, Intranet will no doubt surpass the Internet in the near future, especially for the big corporations.
